Hook

The business grows, the shoebox becomes a storeroom, and Excel goes from one tab to fifty. Your first thought is usually: "My admin is so capable — why not let her keep the books as well?" Today we settle why that step is the junction growing businesses most often take wrongly.

The superhuman admin's ceiling

Let us be clear first: we have enormous respect for admins — they are often the glue holding a whole company together. But the reality is that your admin has been at 110% for a long time. Reception, logistics, customer service, running errands: the day is already full. Press a full bookkeeping load on top and two things happen at once. One, both jobs are rushed and both come out rough. Two, you hit a wall of specialist skill — "my admin spent eight hours reconciling the bank yesterday and still cannot find the difference." That is not lack of effort, it is a mismatch: complex reconciliation, tax classification and adjusting entries are specialist skills, not administrative work. So a knot that forty full-time hours cannot untie will not be untied by a part-timer on a clerk's rate coming in a few days a month either. What is missing is not time. It is professional depth.

The quote from two years ago

The second common mismatch: talking about today's books on an impression that is two years old. "We are a small business, only a few invoices a month." But in fact — congratulations — the business has doubled. Doubling is not just a bigger number on the statement. Twice the sales invoices to raise and chase. Twice the supplier bills to match and pay. More staff, so wages, EPF, SOCSO and PCB all follow (the seventeenth lesson). New business lines, new bank accounts, new loans — each one to be managed and reconciled. Today's business is no longer the business you described over coffee back then. The workload in the books grew with the business, while the budget stayed at two years ago. That is the mismatch.

What a finance function actually is

Treating bookkeeping as one person's job comes from never having seen what a complete finance function looks like. Someone raising invoices and chasing payment, someone matching bills and making payments, someone handling the bank, the payroll and the statutory contributions — those are the hands. Add the system that chases every department for documents. Add the head that reads the numbers and makes judgements. A small company cannot afford a whole department, and that is entirely normal. The way out is not to press three people's work onto one clerk. It is to outsource to a whole team: hands, system and head, rented at your scale. How to take this step correctly

Three suggestions. One, let the admin do what she is good at — collecting and routing documents. She is the finance function's best forward post, not its stand-in. Two, before asking for a quote, describe today's business clearly: transaction volume, bank accounts, headcount. Do not use a two-year-old impression. Three, hand the books to a team that keeps books, and take back the time for you and your admin to run the business.

Why not just hire an experienced accountant?

You can, but work it through: one person cannot cover hands, system and head, and it also puts the entire finance function on one individual — when they leave, it all starts again.

Will outsourcing cost me control?

No, provided the division of work is written down. Your admin remains the day-to-day forward post, and the reports and decision figures come back to you. What is outsourced is capacity, not control.

At what size is outsourcing worth it?

Judge by document volume and complexity, not turnover. When documents, payroll and multiple accounts start competing for the same person's time, it is time to consider it.
